Today managing files in hard copy and searching them in bundles is a very tedious and burdensome task, causing tremendous confusion and pressure on the administrative body of the institutes. The movement of such files from one desk to another takes time and slows down the process.

In this era of time, everything/process is going towards digitalization from the manual procedure. we can see that in our university most of the office cases are using manual procedures. As we see if a case is initiated then it travels from one office to another.

Many of the processes conducted at UET Mardan involve the initiation of a case by the officer/clerk concerned. Once a case is initiated, a file is created for it and that file is then moved between offices until the case is completed. Due to this the process delays and takes more time.

In the modern world, manual procedures are going towards digitalization, so our idea is to convert this manual system of file/case management to computerization through a website. Through that website the file sending, processing, tracking will be done in a computerized form which will be processed easily to consume less time also will be easy to access and find a file/case track that where the case is and also all the offices will be interconnected with each other so the information will be shared easily.

The main objectives of our project are.     

• To computerize the file/case processing at UET Mardan.
• To computerize the tracking of the file/case system at UET Mardan.

With all these some objectives comes will be achieved with this is the organization's performance speed. This will enhance the overall work and performance because every user/employee will be under review at any time. So the Organization Heads can have a brief look over all performance.

Benefits of the Project

Benefits of the projects: As we mentioned in the problem statement that these processes take more time by doing it manually and a lot of other problems like tracking a file/case and sending and receiving a case. So, by Computerizing this system and overcoming these problems we can achieve the below objectives.

• To solve the manual Sending a file from the office to the office takes less time.
• To Solve the mandatory presence of every faculty member due to our project it can be accessed from everywhere.
• To solve the privacy issue of Sensitive cases through this we will provide a secured platform that will be in between authorized relative members.
• To solve the Slow tracking system of files which is easy to track and find files/cases.
• To solve the problem of taking too much completion time of cases which will be then improved in digital file/case system and will take less time to complete.
• Users will get a notification via Email and Message.
• The creator can track the movement of a file.

Technical Details of Final Deliverable

• Microsoft Word will be used for documentation.
• Adobe xd will be used for designing.
• HTML, CSS, JAVASCRIPT, and BOOTSTRAP will be used for front end coding.
• The coding will be done in the Microsoft Visual Studio Code editor.
• PHP will be used for backend coding.

XAMPP will be used for the local server database.

The final deliverable of this project will be a website having all those functionalities which will cover the above-mentioned problems.
