Project Summary

In our country, the shopkeepers mostly used traditional Khata Book(Ledger) or simple normal note book to save the customers and product record. It is very time consuming and unsafe way of saving records for the shopkeepers. If the data is saved in electronic form, it can be used in making informed decisions by the shopkeeper. Currently, the available electronic ledger apps available have limited functionality and low adaptability by the shop keepers.

We propose moving towards a digital solution through an android application to replace the tradition ledger system. Our proposed idea of an Electronic Khata book android application that will convert the paper work into digital work in a manner that is most familiar to the shopkeeper. It will be used by the shopkeepers to maintain the inventory record in smart way, the product information, daily sales record, loan record and all other necessary functionalities will be added in it. The application is targeted for the local market with low technical knowledge. The application will be in urdu with a user friendly interface. A database system will be used to save the record and there will be also a backup option for it. Local shopkeepers will use the application and it will help them to do their work more quickly and safely.

Project Objectives

• Provide replacement for old khata/ledger books into digital form
• Maintain customer’s, inventory, statistics record in one place
• Provide an simple and user friendly user interface for unfamiliar users
• Generate alerts and reminders for different transactions
• Provide cloud backup facility to customers

Project Implementation Method

• An android application will provide authentication service through mobile number and email address of the user through Firebase Authentication APIs.
• Then user will be provided with a dashboard that can be used for navigation between application features such as:
  • Add/View a page in register
  • Add/View a customer details
  • Add/View a product
  • Update/View inventory
  • Information e.g. bestselling products, customer with most pending payments, loss making products etc.

• The data will be stored in Firebase database. The files can be converted to Documents and stored in Google Drive as Backup.
• Enable user to manage inventory through the help of barcode reader using the mobile camera.

Benefits of the Project

If we discuss our daily life's on going commercial/trade or business activities, we may come to know that most of our traders are business accountants uses traditional note book for keeping record of each person's/customer's transaction daily, weekly and monthly. This comes up with a lot of problems such as time consumption and record maintenance problems and lack of an overall accounts view. Hence, Pakistani shopkeepers traditionally use time consuming paper based khata/ledger books which makes financial record maintenance difficult and prone to data loss.

To overcome these problems, we are here to suggest some solutions to it.

• Enable a secure and safe storage for ledger book records.  
• Store record of customers in a digital form that enables transition from ledger books that contain the details of every customer.
• Enable storekeeper to make informed decisions based on our informative dashboard
