Therefore, when the project is executed, there is always a need to carefully monitor the running activities. This helps all the stakeholders, For example, the project supervisors to keep track of their students’ progress and apply corrective measures in time.
Similarly the Final Year Project, which is an important and integral part of University Education System needs proper monitoring. But, unfortunately such task is usually done manually. Therefore, this approach seems outdated. For example, starting from the supervisor selection to tracking the project progress as well as accurate assessment are key issues, which are difficult to manage.
The aim of this project is to introduce and develop an automated mechanism for the students’ final year projects covering almost all aspects leading from the project selection to the final submission. The stakeholders of this project are Students, Project Supervisor, and FYP organizer. Therefore, this project consists of three modules.
Modules of the projects
- Students:
Register Student: Firstly a student can register itself in FYP monitoring system.
- Repository: Repository will contain all previously completed projects
- Make Group: Student can make a new group or join an existing group
- Choose Supervisor: Student will be able to choose from available list of supervisors
- Upload Deliverables: Student will be able to upload different artifacts of their projects.
- View Result: Student can view their performance
- View Status and schedule: Student can view status and schedule of the upcoming meeting.
- Schedule/Activities: Students can create milestones and task to monitor our FYP project and manage the work flow processes and development for the project. The Gantt chart generated will provided a graphical representation of the overall plane and work flow process.
- Supervisor:
- Choose group: Supervisor will choose groups to supervise from his request list
- Schedule Meetings: Supervisor will be able to schedule meetings with student.
- Evaluate: Supervisor can evaluate.
- Add Meeting Logs: Supervisor will add meeting logs with students to the system.
- Assign Mark: Supervisor can upload marks of the student performances.
- Project Organizer:
- Manage/Create groups: Organizer will manage already created groups or create groups of students who are not with any group.
- Set Deadlines: Organizer will set deadlines to deliver different artifacts of projects
- Generate Notifications: Organizer will generate different notifications related to the FYP and these notifications will be sent to all students.
- Send Emails: Organizer will be able to send emails to all the users of the system.
- Manage Repository: Will manage repository.
- Register External Examiner: Organizer will register external examiners
- Manage the faculty and their roles: Organizer will register new faculty or manage existing faculty and set their roles.
Objective:
- This system can be handle all the Final Year Projects lifecycle.
- This system is to
- increase the efficiency and the effectiveness of FYP processes and reducing the manual works that done by the FYP committee.

Project monitoring tool is automated software that keeps track and repository of all projects and manages all the processes involved in projects. Our project will manage all current project and previous projects. All activities/processes involved in final year projects will be managed. Final Year Project Management System follows complete final year project’s lifecycle. It handles Project repository and their documents, it keep track of Notifications and deadlines.
